Rather have a phased approach in dealing with communication. Firstly: address the issue and make key notes of what is needed, Secondly: put the person in contact with the respective personnel, Thirdly: ensure the customer is regular updated on the process with a contact number and a timeline. Lastly, ensure you communicate first before the customer has to reach out.
